A gap across all vendors is worth surfacing to the requirements owner — maybe the requirement needs to flex, or maybe it's a genuine dealbreaker worth negotiating.

Not every requirement matters equally — apply weights to the must-haves before the comparison produces a final recommendation.

Check the work

  • Verify the scoring against the actual vendor documentation, not a marketing summary.
  • Confirm requirement weights were applied before ranking vendors, not just an equal-weighted average.
  • Check pricing and contract terms were compared on the same basis (term length, volume) across vendors.

Steps 3-4 are Excel weighting and gap-review — plain spreadsheet work. Step 2 is where AI matters: reading unstructured vendor documentation against your requirements is a comprehension task, not a lookup, and doing it across several full proposals at once is exactly where a larger context window helps.

Non-AI alternative: Once scores exist, a simple weighted-average formula in Excel handles the final ranking in step 4 without more AI.
