An executive email thread can carry confidential approvals or strategy discussion. If you don't have a licensed Copilot for step 2, think twice before pasting the full thread into Claude — paraphrase out anything beyond what step 3's brief actually needs.

Copilot works differently from the others: with a paid Microsoft 365 Copilot license it's built right into the app above, no copy-pasting needed. Without a license, use it the same way as ChatGPT or Claude — in its own chat window.

Step 1: Gather contextOutlook

Open the relevant thread in Outlook and either export it as a PDF (File > Save As > PDF, from the print view) or select and copy the full text, including earlier replies further down the thread — not just the most recent message, which usually only has part of the full back-and-forth.

Step 2: SynthesizeCopilotClaude

If Microsoft 365 Copilot is licensed, paste the thread directly into Copilot Chat so it has the full context in one pass; otherwise paste the same text into Claude. Either way, give it the complete thread rather than your own summary of it — a secondhand paraphrase is exactly where a decision or an approval request can quietly drop out.

Step 3: Draft the one-page briefWord

In Word, organize the output into decisions already made, current roadblocks, approvals needed, and the owner of each follow-up. Keep the brief to one page.

Step 4: Check against the sourcesWord

Put the original thread and the draft brief side by side and go through every bullet — names, dates, who committed to what, and the stated approval status — correcting anything that drifted and deleting any claim the source doesn't actually back up.

This is the step that turns a plausible-sounding summary into one you can defend in the room.

Step 5: Share the meeting briefWordOutlook

Save the final document in the agreed location and send the link to attendees before the meeting.
